Roles and permissions
Real estate CRM roles and permissions — every user sees only what their role allows.
VIDORO CRM comes with seven roles, from superadmin to independent lawyer, each with its own permissions and its own view of the data. Companies inside one organization are strictly isolated, and the activity log records every change with its author, time, old value and new value.
- Seven roles out of the box
- Strict company isolation
- An activity log of every change
01How it works
How roles and permissions work in VIDORO CRM
In VIDORO CRM roles, visibility scopes and company boundaries are part of the core, not an add-on. The agency sets up its structure, gives every user a role, and from then on each person works with the clients and deals their role allows.
Organization, companies and users
The structure in VIDORO CRM has three levels: organization → companies → users. An agency with several companies keeps them in one organization, while the data of one company is never visible to another, so the team of one company does not see the clients and deals of the next.
Seven roles out of the box
Every user in VIDORO CRM gets one of seven roles: Superadmin, Organization Director, Company Director, Agent, Subagent, Back Office or Independent Lawyer. The roles are built in, from management to an outside lawyer, and each of them comes with its own permissions.
Each role has its own view of the data
In VIDORO CRM each role has its own view of the data, from everything in the organization down to its own records or only what was shared with it. A director and an agent open the same CRM, but each of them sees the part of it that their work requires.
A subagent and an independent lawyer in the deal
VIDORO CRM has separate Subagent and Independent Lawyer roles, so people outside the core team can work in the same deal as the agent and the back office. They see what their role allows instead of receiving documents and updates forwarded through messengers.
Every change in the activity log
VIDORO CRM writes every change to the activity log with its author, time, old value and new value. A changed offer price, a moved phase status or a reviewed passport can be traced to a specific person and moment, so questions are settled by the record, not by memory.

02Benefits
What your agency gets from roles and permissions in VIDORO CRM
Roles built into the core
In VIDORO CRM roles and visibility scopes are part of the core, not an add-on. From the first day, every user works within a role with its own permissions and its own view of the data, from the superadmin to the independent lawyer.
Several companies in one organization
VIDORO CRM keeps several companies under one organization and strictly isolates their data. The structure is organization → companies → users, and the clients and deals of one company are never visible to another, even inside the same organization.
Outside partners without full access
A subagent and an independent lawyer work in VIDORO CRM in the same deal as the agency’s team. Each of them has a role with its own permissions and its own view of the data, so working together does not mean giving everyone access to everything.
Who, what, when — before and after
The activity log in VIDORO CRM records every change with its author, time, old value and new value. Managers can check who changed an offer price or a phase status and when, and prices, dates and statuses keep their full history.
04FAQ
Questions about roles and permissions in VIDORO CRM
What are roles and permissions in a real estate CRM?
In VIDORO CRM roles and permissions decide what each user can do and which data they see. Every user has one of seven roles, and each role has its own permissions and its own view of the data, from everything in the organization down to its own records or only what was shared with it.
Can one organization run several companies in VIDORO CRM?
Yes, VIDORO CRM is built around the structure organization → companies → users. Several companies can work in one organization, and the data of one company is never visible to another, so each company keeps its own clients and deals to itself.
What does a subagent or an independent lawyer see?
In VIDORO CRM a subagent and an independent lawyer see only what their roles allow. Each of the seven roles has its own permissions and its own view of the data, so outside partners can work in the same deal as the agency without access to everything else.
How does VIDORO CRM record who changed what?
VIDORO CRM writes every change to the activity log with its author, time, old value and new value. For example, the log shows who changed the offer price, who moved the status of phase 3 and who reviewed the passport, and when each of them did it.
Why does a real estate agency need roles in its CRM?
VIDORO CRM gives every user a role so that the agent, the back office, a subagent and an outside lawyer can work in one deal without seeing more than their role allows. Without roles, everyone either sees everything or works from forwarded messages and copies of documents.
